JOB SUMMARY:
The Payroll Specialist is responsible for processing the organization's multi-provincial payrolls accurately and on time. Accountabilities include the full-cycle activities of the payroll function, including accounting, journal entries and reconciliations while ensuring compliance with company policy, collective agreements, and government legislation. The working environment is fast paced with deadline-driven tasks. The incumbent must have a high level of discretion in handling confidential information and manage multiple items at once and prioritize tasks.

KEY ACCOUNTABILITIES:
  • Process biweekly multi-provincial payroll for hourly, salaried and contract employees using ADP
  • Ensure the accuracy of payroll earnings and deductions are in compliance with company policies, employment contracts, and CRA rules and regulations.
  • Prepare remittances for taxes, workers compensation boards, union and benefit carriers
  • Set up new employees in the payroll system
  • Process and calculate terminations payments
  • Prepare and upload journal entries to the General Ledger
  • Conduct quarterly account reconciliations
  • Prepare T4, RL1 and annual reconciliations for various Federal and Provincial agencies
  • Process Record of Employments (ROE), and T4 amendments
  • Maintain up to date knowledge of collective agreements
  • Maintain payroll records
  • Act as first point of contact for all payroll inquiries and requests
  • Preparing various payroll reports for both internal and external stakeholders and distributing them in timely manners.
  • Perform other duties/tasks as assigned.
KEY COMPETENCIES:
  • Strong knowledge of ADP Workforce with minimum 3 years experience
  • Strong knowledge of payroll legislation, accounting practices and principles, and compliance
  • Knowledge of journals and general ledger (GL)
  • Ability to multi-task, process high volume of transactions and meet deadlines
  • Ability to deal with confidential and sensitive information in a diplomatic and tactful manner
  • Excellent organizational and time management skills
  • Strong analytic & problem-solving skills
  • Excellent customer service skills with ability to deal effectively with all levels of staff
  • Excellent interpersonal communication and relationship-building skills
  • Proficient in MS Office applications including Word, Outlook, PowerPoint
  • Intermediate to advanced proficiency in Microsoft Excel
EDUCATION/EXPERIENCE:
  • Diploma in payroll, business, or finance studies
  • PCP Designation with the Canadian Payroll Association
  • 3- 5 years payroll experience in a non-union and unionized environment
WORKING CONDITIONS:
  • Office environment.
  • Concentration and attention to detail with frequent interruptions and tight timelines.
